A future client wants a detailed estimate for his trip. |
The creation of a new request can be done in 2 possible ways:
This determines the way a file is created but not its origin. In fact, the request could come from a variety of possible origins: by email, mail, phone, fax, directly, etc. That is why ePax allows to define a specific origin for the Agency. For example, from such agency or from such toll free number. The software learns the different origins of a request to fit all possible origins for the Agency.
If the Agency has the future client's email, the software allows to test its validity, not only the syntax but simulate sending an email to see, for example, if the mailbox is full or if the server is accessible. The Agency will never again spend time writing an email and notice later that it returns with an error.
Notice that, when creating a request, the user becomes the owner of the request. Only he and the administrators have access to that file. However, the administrator can create the new request. In that case, he can allocate it to an agent or leave it available for anyone. The first agent to appropriate the request becomes responsible for it.
Notice also that anytime an administrator can allocate the file. For example, give it to another agent because the responsible agent is not available or will not be available any more.
